Position Summary:

We are seeking a detail-oriented Administrative Assistant to support our client's billing department and serve as the first point of contact at the front desk. This individual will play a vital role in both administrative billing support and front office operations, assisting medical billers with day-to-day tasks such as charge entry, denial follow-ups, insurance verification, and general data entry, while also managing reception duties including phone and visitor management. The ideal candidate is proactive, organized, and comfortable working in a fast-paced, team-oriented environment.


Key Responsibilities:

Billing Support:

  • Assist with medical charge entry and data input into billing systems
  • Support billing staff in reviewing and following up on insurance denials
  • Verify patient insurance information and ensure accurate documentation
  • Perform general administrative tasks such as scanning, filing, and organizing documents
  • Respond to ad hoc requests from the billing team and assist with special projects as needed

Front Desk/Reception:

  • Greet visitors and maintain a professional, welcoming environment at the front desk
  • Answer, screen, and route incoming calls in a courteous and timely manner
  • Monitor and respond to general office inquiries via phone and email
  • Manage incoming and outgoing mail, packages, and deliveries
  • Maintain front office supplies and ensure the reception area is tidy and organized

Qualifications:

  • Prior administrative or clerical experience, preferably in a medical or billing office
  • Basic understanding of medical billing terminology and insurance processes is a plus
  • Proficiency in Microsoft Office Suite, particularly Excel and Outlook
  • Strong attention to detail and high level of accuracy in data entry
  • Excellent verbal and written communication skills
  • Outstanding customer service and interpersonal skills
  • Ability to multitask, stay organized, and prioritize tasks in a deadline-driven environment

Preferred Experience:

  • Experience supporting a billing team or working in a healthcare setting
  • Familiarity with medical billing software or electronic health record (EHR) systems
  • Previous front desk or receptionist experience in a medical office environment
